Audit lifecycle

From raw client export to sealed partner sign-off.

Every screen in VouchClerk has one plain job and one obvious next step — so staff prepare cleanly, seniors focus on exceptions, and partners trust every figure in the binder.

01
Manager / Partner

Set up engagement & team

Define the client, fiscal year-end, reporting currency (TZS by default, or KES, UGX, RWF, USD), and overall materiality. Assign the engagement team — Seniors and Staff only see engagements they belong to.

Standard lead-sheet sections (Cash, Receivables, Inventory, PPE, Payables, Equity, Revenue, Expenses) and planning memos are created automatically.

02
Module A · Ingestion

Upload current & prior trial balances

Drop .csv, .xlsx, or .xls files directly from the client’s ERP. VouchClerk stores the raw file immutably, strips company title rows, and handles both Debit/Credit columns and single signed-balance spreadsheets.

Only the header row and first 5 rows are sent to map columns with confidence scores — or run 100% locally with built-in heuristics.

03
Module B · Taxonomy

Normalize the COA & verify balance

Every account maps into one audit taxonomy. Balanced imports earn a Light Brass Balanced badge; discrepancies show the exact out-of-balance figure immediately.

Ambiguous client account names get a Brass Check category pill, and seniors search long lists via a keyboard-friendly combobox.

04
Module C · Workpapers

Prepare lead sheets & post AJEs

Bound lead sheets display Prior Year, Unadjusted, Adjustments, and Final balances automatically. Staff propose adjusting (PROPOSED) or reclassifying (RECLASS) entries.

Once a manager or partner who did not propose the entry approves it, the working trial balance updates live across all bound schedules.

05
Module D · Smart tie-outs

Pin workpaper figures to PDF evidence

Select any figure on a lead sheet, click Tie out, and drop an anchor tag like A-1 or C-3 onto the exact page and coordinate of a bank statement, invoice, or confirmation PDF.

Reviewers click the tag badge and inspect the document beside the schedule with the pinned spot highlighted.

06
Phase 2 · Analytics

Test 100% of the GL & explain variances

Import general ledger transactions to run Benford’s Law first-digit conformity (chi-square & MAD), duplicate invoice checks, authorization-limit bypass rules, and weekend/holiday posting screens.

Material period-over-period variances generate draft analytical commentary that requires independent auditor sign-off.

07
Sign-off & Lock

Three-person sign-off & permanent trail

Preparer, reviewer, and partner sign in turn — three separate individuals enforced in code. Partner approval seals and locks the schedule against accidental edits.

Sending work back or reopening an approved schedule requires a written note recorded permanently on the audit trail.

Semantic status signals across the binder

Colour carries a single audit meaning — always paired with a dot and plain status word.
